Web portal

Our web app offers visibility and functionality and is your single interface for all inventory management needs:

  • Submit requests to onboard or offboard users, upgrade a users device, or get a temporary loaner laptop

  • View details on all of your new and used devices, including their model, specs, condition, location, and age

  • Check the status of requests and look up tracking numbers for shipping

  • Update your preferences to invite new app users, add or change device options, manage configuration profiles, and more

Requests

Use the web portal to submit the following types of requests:

Onboarding

  • When onboarding a new hire, you provide their contact info, address, and configuration profile, and choose the specific device(s) you want us to send them (you can choose available devices from inventory or order custom devices)

  • We configure the computer and ship all devices directly to the user

  • If appropriate, we immediately replenish the devices we assigned to keep your inventory stocked

Offboarding

  • When offboarding a user, you confirm which devices we should retrieve from them

  • We send the user a box with a prepaid return label so they can send everything directly to our warehouse

  • When we receive the used devices, we securely wipe and assess each one to see if it’s still usable and, if not, offer e-cycle and donation options

Upgrade

  • When a user needs a new computer or display, you choose a specific device for them and let us know what it’s replacing

  • We’ll configure and ship the device along with a prepaid label to return the old one

  • If appropriate, we’ll replenish the new device, and wipe/assess the used device we get back

Loaner

  • Choose a specific device from your inventory of used computers

  • We’ll configure and ship the device along with a prepaid label to return it when it’s no longer needed

Inventory replenishment

Kinetix configures your initial inventory according to your preferences and can keep as many device options you want—you choose the make, model, and specs for each, as well as how many of each option you want us to keep stocked in inventory

  • If you already have devices, you can ship or deliver them to us; otherwise, we’ll make the initial purchase

  • We procure equipment through reseller channels except with Apple devices (we’ll just use your Apple sales account)

  • We’ll automatically replenish devices whenever a new one is assigned so there’s no effort on your part to keep your inventory stocked

Qualified hardware

The following devices are eligible for the service:

  • Computers (laptops or desktops and their power adapters)

  • Displays (with power and display cables)

  • Peripherals (will only store brand new peripherals)

Inventory location

We store all hardware in a secure, insured location and use a secure, custom-build inventory management platform to keep track of devices and automate processes to fulfill requests quickly and reduce human error.

Security

We take the security of your devices seriously. Our warehouse is protected by controlled entry (warehouse team only) and a state-of-the-art security system with 24x7 monitoring. We do not publish our warehouse address publicly or use branding that would identify the contents in any way. We are fully insured and do not store any client data on premises; used computers are securely wiped promptly on arrival.

Client visitation policy

In general, we prefer to use shipping to convey client devices into and out of the warehouse, but there are times when client employees will need to visit our warehouse in person to drop off or pick up a large number of devices to avoid high shipping costs. In those cases, we expect clients to do the following:

  1. Notify warehouse staff at least 2 business days in advance about the time and purpose of the visit by submitting a Support Request in the KIM app:

    1. Log into the app

    2. Click the menu icon > Get Help

    3. Provide the following details:

      1. The date and time of your visit

      2. The purpose of your visit

      3. A description/list of any warehouse inventory you would like to inspect or retrieve so we can pull it from the warehouse in advance

  2. Present proof upon arrival of full COVID-19 vaccination or a negative COVID test result from the past 48 hours

  3. Comply with all state and county regulations for indoor public spaces, including wearing a mask, even if vaccinated

  4. Remain in the lobby or office only (not the warehouse space) for client privacy and security reasons

    1. Warehouse staff will bring all applicable devices to the office for inspection or retrieval as needed

    2. You may request a special visit to inspect the warehouse but you will need to be accompanied by staff, keep a safe distance from racks containing devices, and limit the inspection to 10 minutes or less

  5. Keep the visit brief for security and health reasons, limiting your visit to only the time necessary to complete the intended tasks 

  6. Acknowledge that in-person delivery of used computers will still incur a transaction fee for wiping and assessment

Pricing

Monthly Management Fees

Kinetix charges the following monthly management fees based on the number of devices in Kinetix inventory:

Kinetix will run a report towards the beginning of the month to determine how many devices are in the warehouse and we will use that number to bill based on the table above. This includes any computer, display, or peripheral stored at the warehouse.

*Charges: Kinetix will ensure your end users have a charger if applicable by pulling one from our existing pool. These will then be billed directly to you with your monthly KIM transaction invoice.

Kinetix uses shipping insurance that covers loss or damage for all shipments that use shipping labels we generate, with the exceptions of 1) damage to devices that are improperly packed or handled by the client and 2) lost packages due to an address being entered incorrectly by the client. All shipments completed by Kinetix, except empty boxes, will be insured automatically. This insurance does not cover packages that use shipping purchased by the client; clients are responsible for using insured shipping methods and handling claims for loss or damage incurred in those shipments. The refund or credit will be issued in the amount of the value of the equipment at the time of loss.
